Please review these terms before booking your tour. Booking with Book My Trip implies your agreement to our travel rules and service policies.

A. Booking Terms

  1. A booking deposit of ₹6,000 per person is required to confirm your seats; the remaining balance must be cleared at least 25 days before departure.
  2. Standard hotel room allocation is on twin-sharing basis. Solo travelers may be accommodated in private single rooms on payment of applicable room surcharges, subject to room availability.
  3. Rooms provided are double-bed or triple-bed. Triple sharing in a double room is eligible for special tour discounts depending on destination logistics.

B. Charges for Children

  1. Children between 5 to below 12 years receive a 15% discount on package cost (without extra hotel bed).
  2. Children between 3 to below 5 years receive a 50% discount on package cost (without extra hotel bed).
  3. Infants and toddlers below 3 years of age travel free of cost without room beds.

C. Rail & Air Tickets

  1. Standard package rates exclude train or airfare; these are billed separately as per actual reservation costs.
  2. We arrange confirmed train tickets according to passenger preference, though specific coach, berth, or class allotment remains subject to railway availability.
  3. Air tickets are issued on request at prevailing airline tariffs; flight selection is made in consultation with guests.
  4. Train tickets may not be refundable if reservations are cancelled late; Book My Trip bears no liability for railway booking penalties.
  5. Airlines handle cancellation refunds according to individual fare rules; our agency is not liable for carrier processing delays or deductions.

D. Cancellation Policy

  1. Cancellations more than 45 days before departure incur a nominal handling fee of ₹1,500 per head.
  2. 45–30 days prior: 5% of tour price + ₹1,500 · 29–25 days: 10% + ₹1,500 · 24–20 days: 15% + ₹1,500 per head.
  3. 19–10 days prior: 28% + ₹1,500 · 9–5 days: 33% + ₹1,500 · 4–3 days: 50% + ₹1,500 per head.
  4. No refund is admissible within 72 hours of scheduled departure or once the journey has commenced.
  5. Cancellations take effect upon surrendering the official advance deposit slip at our Kolkata office; outstation guests may notify via registered email.
  6. No refunds are provided for missed travel segments, skipped meals, early returns, or sickness during the tour.
  7. If a tour is called off by the agency due to natural calamity, roadblocks, or unavoidable factors, passengers bear only 10% of the tour price.
  8. Tickets cancelled due to traveler-requested date or circuit alterations are subject to standard deduction rules.
  9. Passengers missing scheduled train departures cannot claim refunds; they may join the group at the subsequent station at their own cost.
  10. Any unclaimed credit or balance lying with the company expires after 6 months from the date of tour commencement.

E. General Guidelines

  1. Book My Trip coordinates with independent transport, hotel, and rail carriers; we are not responsible for schedule modifications caused by external transit delays.
  2. The agency reserves the right to adjust operational guidelines and decline reservations for safety or group decorum.
  3. Guests are permitted one 22" trolley bag and one handbag per person. Excess baggage handling is solely the traveler's responsibility.
  4. The agency is not liable for personal accidents or luggage damage; adequate travel insurance is advised.
  5. Itineraries may be re-routed due to sudden weather or roadblocks; government tax or fuel hikes during the tour must be borne by guests.
  6. Washing clothes inside hotel rooms is prohibited. Guests are responsible for safeguarding their jewelry, cash, and belongings.
  7. Train meals are excluded, though initial departure day snacks and day-two breakfast (tea excluded) are provided as per itinerary.
  8. Guests flying in directly must arrange airport-to-hotel transfers. Where tour buses are restricted by local unions, local transport is at own cost.
  9. Drinking water is provided at hotels; bottled mineral water beyond daily quotas is self-funded. Room service is restricted to morning bed tea.
  10. Daily departures vary between 5:00 AM and 8:00 AM; the following day's itinerary is briefed at dinner each evening.
  11. Room keys and bus seating are managed fairly by daily rotation; passengers are requested to adhere strictly to time limits at monuments.
  12. Entry fees, jungle safaris, ropeways, pony rides, boat cruises, and personal camera permits are payable directly by guests.
